With its latest release, Fabasoft Approve is setting new priorities in AI-powered metadata extraction and creating greater transparency at quality control points. In addition, there are new options for reminder emails as well as targeted protection for confidential letters and their attachments.
AI-Supported Metadata Extraction with Greater Flexibility
AI-supported metadata extraction now offers even more options for capturing specific information from documents and using it for further processing steps. Extraction definitions can be linked together so that the system automatically executes certain definitions first. The metadata values determined in this process can then be used directly in subsequent prompts via placeholders.
The applicability of metadata extraction can also be controlled more flexibly. Expressions can be used to specify whether the system should perform an extraction for a particular object. At the same time, prompts can be generated dynamically by combining different pieces of information. This allows extraction definitions and prompts to be tailored specifically to the respective requirements.
Quality Control Points with Their Own Status
Quality control points can now be assigned their own status. This allows you to directly visualize and more easily track the current progress of individual control points and their respective phases. Especially with extensive schedules, the status provides a quick overview of the processing status.
The process for editing multiple quality control points has also been updated. Control points can now be edited individually for each document. Collaborative editing remains available for managing the control point data stored there.
Flexibly Manage Reminders
There are also more options for customizing reminder emails. For documents and other items, you can specify which reminders are sent before or after a due date and over what period additional reminders are sent.
These settings can be saved at the configuration, project, or repository level. Without custom configuration, the default settings remain in effect: The first reminder is sent 14 days before the due date, followed by weekly reminders over a four-week period.
Confidential Letters with Protected Attachments
Letters can now be marked as confidential, thereby providing additional protection for their attachments. While the letter itself remains visible to users of the destination folder even after it has been sent, access to the attachments can be specifically restricted.
To do this, activate the “Confidential” field on the letter. The attachments can then only be viewed by users and teams who have the appropriate permissions.
